Chat service & customer support
Our website features a live chat service handled by our AI-powered assistant, Ava, working alongside our support team. Ava is powered by AI technology provided by Anthropic, a US-based AI company.
To help us provide a consistent experience if you come back to us later, we keep a short summary of what we’ve discussed — such as the type of project you’re working on, your preferences, and any ongoing requirements. This helps us give you the same quality of service a human account manager would by remembering previous conversations.
Chat content is transmitted to Anthropic for processing but is not used by Anthropic to train their AI models (per our contract with them). We retain chat transcripts and customer memory notes for as long as needed to provide ongoing service (see How long we keep it).
You can request to view, correct, or delete your chat data and customer memory notes at any time by contacting us.
How long we hold your information
We keep personal information only for as long as necessary for the purposes set out in this policy. In practice, this means:
- Order and invoicing records — retained for at least 7 years in line with HMRC accounting requirements
- Email correspondence relating to orders — typically retained alongside the relevant order record
- Chat transcripts and customer memory notes — retained for as long as we have an active business relationship with you, or for as long as legitimately necessary to provide ongoing service and support
- Marketing contacts — retained until you unsubscribe or withdraw consent
- Website analytics data — retained in accordance with the retention settings of the relevant third-party provider

Who has access to your information

These third parties only have access to the personal data needed to perform their functions. We have contracts or arrangements in place to keep your information secure and to limit how it may be used.

Mailing & newsletters
As part of our newsletter subscription process we collect a very small amount of personal information (name and email address).
We don’t rent or sell email lists to other organisations or businesses.
We use a third-party provider, MailChimp, to deliver our newsletter. We gather statistics on email opens and clicks using industry-standard technologies to help us monitor and improve our content. For more information, please see MailChimp’s Privacy Notice.
Transactional emails (such as order confirmations, quotes, and notifications) are sent via Brevo. These are necessary to provide the service you’ve requested and are sent under our contract lawful basis.
You have the right to unsubscribe from marketing emails at any time by clicking the unsubscribe link at the bottom of any of our emails, or by emailing us at [email protected].
The internet
Communications over the internet such as emails and webmails (messages sent through a website) are not secure unless they have been encrypted.
